Job Description
We are looking for a Front Office Executive with a minimum of 2 years of experience. The candidate should be proficient in basic computer operations, MS Office, and Excel. Experience in handling billing reports through software, scheduling patient appointments, and managing consultant appointment bookings is essential.

Key Responsibilities

  1. Reception and Visitor Management
    • Greet and welcome visitors, clients, and guests in a professional and friendly manner.
    • Maintain a clean and organized reception area to create a welcoming atmosphere.
    • Manage the visitor logbook and issue visitor passes or IDs as required.
    • Inform relevant staff members about visitor arrivals promptly.
  2. Call Handling and Communication
    • Answer incoming calls efficiently, screen and direct them to the appropriate departments or personnel.
    • Take accurate messages and ensure timely delivery to concerned individuals.
    • Handle inquiries about the organization s services, office hours, or general information.
  3. Administrative and Clerical Support
    • Manage incoming and outgoing mail, couriers, and packages.
    • Perform basic administrative duties such as filing, photocopying, scanning, and typing correspondence.
    • Maintain inventory of office supplies and coordinate with vendors for replenishment.
    • Assist in scheduling appointments, meetings, and conference room bookings.
  4. Coordination and Record Keeping
    • Maintain records related to visitors, bookings, and office supplies.
    • Update employee contact lists, extension directories, and other important records.
    • Coordinate with housekeeping and security staff to ensure cleanliness and safety at the front desk area.
  5. Customer Service and Professionalism
    • Respond to inquiries with accurate information and ensure customer satisfaction.
    • Maintain a polite and helpful demeanor at all times, even under pressure.
    • Handle complaints calmly and escalate issues to appropriate personnel when necessary.
  6. Support to Management and Staff
    • Provide administrative support to HR or operations teams as needed.
    • Assist in organizing company events, training sessions, or internal meetings.
    • Perform ad hoc tasks assigned by management.
