Back Office Assistant

Key Responsibilities

1. Order Management & Packaging:
   • Receive and process online orders from various platforms (FirstCry, Flipkart, Amazon, and the company website).
   • Ensure the correct products are packed and labeled according to customer specifications and orders.
   • Coordinate with the warehouse team to pick the right stock for packaging.
   • Ensure that packaging meets the company s quality standards, including correct labeling, expiration dates, and other regulatory information.
   • Ensure timely dispatch of orders to meet delivery deadlines.
2. Stock Management & Record Keeping:
   • Maintain accurate records of product stock levels and inventory.
   • Update stock status regularly on the online portals and internal systems to ensure products are available and visible to customers.
   • Monitor stock movements to track products sold and restock when necessary.
   • Assist in organizing inventory audits and reconciliations to ensure that records match physical stock.
   • Work with the warehouse team to manage stock rotation and ensure products are within their shelf life.
3. Customer Support:
   • Respond to customer inquiries related to orders, product details, delivery status, and returns through email, chat, and phone.
   • Resolve customer complaints professionally and promptly, ensuring a high level of satisfaction.
   • Handle order-related issues such as damaged goods, incorrect items, or delayed deliveries and facilitate the return or exchange process as needed.
   • Provide support for after-sales service, such as issuing refunds, providing tracking information, and assisting with product replacements.
   • Maintain a customer-centric approach, ensuring customers concerns are addressed effectively.
4. Reporting & Data Entry:
   • Maintain accurate and up-to-date records of orders, returns, exchanges, and stock levels.
   • Generate daily, weekly, and monthly reports on sales, inventory levels, and order statuses.
   • Track product performance across different online platforms to identify trends and potential issues.
   • Provide reports to management for forecasting, stock management, and order fulfillment analysis.
5. Platform Management:
   • Ensure that product listings on platforms like Amazon, Flipkart, FirstCry, and the company website are accurate, updated, and optimized.
   • Update product descriptions, images, and prices as needed to reflect changes in the product catalog or promotional campaigns.
   • Monitor the status of active listings to ensure products are live and not out of stock.
6. Collaboration with Logistics and Suppliers:
   • Coordinate with logistics partners for timely order dispatch and delivery.
